Job Summary

We are looking for a highly organized and detail-oriented Purchasing Admin to support our Purchasing team and ensure smooth day-to-day operations. The ideal candidate will be responsible for managing documentation, coordinating with internal departments, and assisting in customer service activities. This role plays a crucial part in optimizing purchasing efficiency, maintaining accurate records, and ensuring seamless communication between clients and the Purchasing team.

Key Responsibilities

  • Assist Purchasing team on administrative task that includes the following:
    • Name transfer and payment 
    • Ensuring that the Vehicle Ownership Process and name transfers to iMotorbike with financing parties are followed up and executed
  • Tracking that name transfers are progressing and completed
  • Document processing and safe keeping (Scanning, Digitizing and Filing)
  • Data entry and update on CRM (admin.imotorbike.com) and appropriate spreadsheets
  • Providing supportive reporting to the purchasing leadership
  • General administrative duties as and when required.

  • Key Expectations to be Successful in this role:
    • Purchasing Administrative Support
      • Efficient Name Transfer & Payment Processing – Ensure timely and accurate execution of name transfers and payment processes.
      • Vehicle Ownership Process & Financing Party Coordination – Diligently follow up and execute name transfers to iMotorbike in collaboration with financing partners.
    • Tracking & Monitoring Name Transfers – Maintain oversight of ongoing name transfer processes, ensuring all transactions are progressing and completed without delays.
    • Document Management & Compliance – Ensure all documents are properly scanned, digitized, filed, and stored securely for easy retrieval.
    • CRM & Data Entry Accuracy – Maintain up-to-date and accurate records on CRM (admin.imotorbike.com) and relevant tracking spreadsheets.
  • Reporting & Administrative Support
    • Supportive Reporting to Purchasing Leadership – Provide relevant data insights and reports to support decision-making processes within the purchasing team.
    • Timely & Organized Administrative Duties – Assist in general administrative tasks as required, ensuring smooth daily operations.

Requirements & Qualifications

  • Proven experience in a Purchasing Admin, Purchasing Support, or Administrative role.
  • Strong organizational and multitasking skills with high attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and in a team environment.
  • Strong problem-solving skills and a proactive attitude.
  • Prior experience in the automotive, e-commerce, or related industry is a plus.
